1. The Main Calendar

We start with the calendar.

This calendar can be filtered in two ways :

  • By trainer – as you can see here
  • By group or class – whichever term you prefer

You can also :

  • Navigate week by week
  • Return to the current week with one click
  • Export to PDF
  • Automatically save your changes

2. Basic Settings

Before generating a schedule, you need to configure a few essential elements.

🔹 Time slots

Time slots are managed here :

  • Add and modify as needed
  • Manage bank holidays
  • Manage establishment closure days

🔹 Trainer availability

This section allows you to define, for each trainer :

  • Their availability by day and time slot throughout the year
  • The system – and the algorithm – will not place the trainer on unavailable slots

🔹 One-off absences

You can also add one-off absences :

  • Select the trainer
  • Date and time range
  • Reason

This ensures the trainer will not be assigned during automatic schedule generation.

3. Groups / Classes

🔹 Group management

You can import group activities and attendance weeks within your establishment – via the import function located on the far right.

🔹 Group constraints

This feature allows you to constrain the system by adding predetermined events :

  • Exams
  • Trips
  • Any other blocking event

For each constraint, you define :

  • Start date
  • End date
  • Reason
  • One or more trainers involved
  • Groups involved

💡 Note : This configuration is typically done at the beginning of the setup process, along with availability and time slots.

4. Mass Assignment

Mass assignment allows you to assign trainers to groups or classes present during the weeks.

The system only selects groups or classes that are present – to avoid overwhelming choices.

Once groups are selected, you can :

  • Assign a trainer to a group for a given week
  • View all assignments made

5. Automatic Schedule Generation

Once the setup is complete, all you need to do is :

  • Select the target week
  • Click “Generate”

Generation is almost instantaneous.

You then get :

  • The number of blocks assigned (in 30-minute increments)
  • The scheduled hours
  • The trainers assigned
  • Any conflicts to resolve

From there, you can :

  • Resolve conflicts (by trainer or by assignment)
  • View the weekly schedule

👉 In just seconds, your schedule is complete.

6. Visual Interface and Interactions

You have a clear and complete view :

  • All assigned time slots
  • Days of the week
  • Classes / groups

🔹 Drag & Drop

You can drag and drop each block to :

  • Modify time slots freely
  • Adjust the schedule generated by the algorithm

7. Filters and Export

🔹 Filtering

As mentioned in the introduction, you can filter the display by :

  • Trainer
  • Group

🔹 Export to PDF, Excel and Ods

Export takes just seconds :

  • The export format adapts to the applied filter
  • If no filter is applied, the export is global
  • Format : A4 landscape, on two pages if necessary

8. Trainer Management

You also have a dedicated section for trainers :

  • Full list of trainers
  • Maximum hours per trainer
  • Maximum hours per day
  • Delete and modify freely
  • Assign skills

9. Data Import

The CSV import function is available at the start of configuration :

  • Download the provided CSV template
  • Fill in the activity week by week for each group
  • Import the file to save considerable time

10. Security and Logout

Of course, the system is password-protected and you can log out at any time.
