Manage your schedules in 3 key steps

To best support you in creating your schedules and ensure a smooth, efficient, and tailored organisation, we have structured the onboarding process around three main phases.

Step 1 – Basic setup :

The first step is about establishing the fundamental framework. It involves setting up the pillars of your schedule : your operating hours, your team composition, and the organisation of your groups with their weekly attendance rhythms. This is the essential foundation on which everything else will be built.

  • Set up your hours (Constraints → Time slots)
  • Enter your team (e.g. List of trainers)
  • Enter your groups (Groups or import groups) – attendance dates per week

Step 2 – Refine the parameters :

The second step invites you to refine the model by incorporating your business intelligence. Here you can set specific rules (collective constraints), block time slots for recurring activities, and finely manage the individual availability of each team member, whether on an annual or ad-hoc basis.

  • Groups (Rules tab)
  • Group constraints (block time slots for specific activities by day, time and team)
  • Manage your team’s availability (either annual or ad-hoc) – e.g. Trainer availability

Step 3 – Regular operations :

Finally, the third step is about dynamic implementation. With all the parameters previously defined, you can assign teaching or activity hours to your team in bulk, then automatically generate a consistent and optimised schedule.

  • Assign hours to the team based on groups (Mass assignments)
  • Generate the schedule
